Twilio integrations connect phone numbers, text messages, WhatsApp and calls to the systems where your business actually works, so a customer's reply lands on the right CRM record and gets an answer instead of sitting in a shared inbox. Twilio supplies the numbers and the message and call plumbing. Everything around it, the routing, the replies, the consent records and the CRM updates, is what you build.
The money problem is usually simple. Leads text back after hours and nobody sees it until morning. A rep replies from a personal phone and the conversation never reaches the CRM. A campaign goes out from an unregistered number and carriers filter half of it. Each of these costs booked work, and none of them is fixed by buying more Twilio.

Where Twilio projects go wrong
Unregistered numbers get filtered
Business texting to US numbers from a standard 10-digit number needs A2P 10DLC brand and campaign registration. Skip it and carriers block or filter messages, often without an error your team ever sees.
Conversations never reach the CRM
Messages and call outcomes live in Twilio logs, which nobody on the sales team opens. The contact record shows no history, so the next person to call starts from zero.
Opt-outs are not carried across systems
A customer replies STOP to one number, then gets a text from a different number or a campaign tool that never heard about it. That is a consent problem, not a technical detail.
The bot cannot hand off
An SMS or WhatsApp bot that cannot pass a conversation to a person, with the history attached, turns a ready buyer into a frustrated one.
Business calls show as spam likely
Outbound calls from numbers with no registered business identity, or with bursts of short unanswered calls, collect spam labels from carrier analytics. Answer rates drop and nobody connects it to the cause.
Phone numbers do not match contacts
The same customer is stored as (312) 555-0100 in the CRM and +13125550100 in Twilio. Without one number format, messages create duplicate contacts instead of updating the right one.
What Twilio integrations provide and what you still build
Twilio is a communications platform for developers. It rents you phone numbers, sends and receives SMS and WhatsApp messages, places and answers calls, and calls a web address you choose (a webhook) each time something happens. It bills on usage, per message and per minute, with carrier fees on top. It does not decide what to say, who owns a lead or what the CRM should record.
So a Twilio project is mostly the layer on top: a webhook receiver that reads each incoming message, logic that finds the contact, an AI assistant or rule that drafts the reply, a handoff path to a person and a write back to the system of record. Benian builds that layer as workflows in your own n8n account, with the Twilio account and credentials registered to your business. Building a Twilio SMS chatbot that books work
A useful Twilio SMS chatbot does a narrow job well. Common jobs for one: replying to a missed call with a text that offers a booking link, qualifying a web lead by text before a rep calls, confirming and rescheduling appointments, and answering repeat questions such as hours, service area or order status.
The flow is the same each time. A message arrives, the webhook finds the contact by normalized phone number, the assistant reads the conversation so far plus approved business facts, and it either answers, asks one clarifying question or hands off. Every turn is logged.
- Hand off to a person when the customer asks for one, mentions a complaint or a refund, or asks something the approved facts do not cover.
- Keep replies short. SMS is not email, and long texts get split into several billed segments.
- Respect quiet hours for anything the business starts. Replies to a customer who just texted are a different case from a campaign.
- Measure reply time, handoff rate, bookings created from SMS and opt-out rate per message type.
Running a WhatsApp bot through Twilio
Twilio can power a WhatsApp bot because it is one of the providers that connect businesses to the WhatsApp Business Platform. You register a WhatsApp sender, usually a number you control, under your business profile, and Meta reviews it.
The rule that shapes every WhatsApp build is the customer service window. When a customer messages you, you can reply freely for 24 hours. Outside that window, you can only start a conversation with a pre-approved message template, and the customer must have opted in to hear from you on WhatsApp. A Twilio chatbot for WhatsApp therefore needs two paths: open replies inside the window and template messages outside it, with the template wording approved before launch. Voice: routing calls to an AI agent and to people
An AI voice agent can run on a Twilio number. The call arrives on Twilio, which passes the audio to the voice agent in real time. The agent answers, works out what the caller needs and either completes the task, such as booking into a connected calendar, or transfers to a person.
Most businesses do not want every call on the AI. A common design: business hours ring the front desk first and overflow to the agent after a set number of rings, after hours go straight to the agent, and emergencies or named callers transfer to an on-call phone. The agent sends a structured summary of each call to the CRM so the morning team sees who called, why and what was promised.

A CRM with Twilio integration: Zoho, Pipedrive and MySQL
Start with the marketplace. Zoho CRM and Pipedrive marketplaces often list texting and calling apps that run on Twilio. Check what each one logs before you rely on it. If one lets reps send and receive texts from the contact record and logs them as activities, install it and stop there. Build custom only for what it misses.
The gaps we usually close are these. A Zoho CRM Twilio integration that also creates a lead when an unknown number texts in, assigns an owner and tags the source. A Pipedrive Twilio integration that adds a note to the deal, not only the person, and moves the stage when a booking is confirmed. A MySQL Twilio integration for companies whose real record lives in their own database, where each message and call status is written as a row keyed to the customer ID.
Whichever system it is, decide one owner for each field. If the CRM owns the phone number and opt-out status, Twilio-side tools read from it rather than keeping their own copy.
A2P 10DLC registration, consent and caller reputation
A2P 10DLC is the US carrier registration for business texting from standard 10-digit numbers. You register your business as a brand, then each use case as a campaign, with sample messages and a description of how people opt in. Toll-free numbers go through a separate verification. Review takes time and can be rejected for vague opt-in wording, so it belongs at the start of the project, not the week of launch. Rules and review times change, so we check the current requirements on each project.
Consent needs a record, not a checkbox in someone's memory. Store when and how each person opted in, honor STOP and similar keywords across every number and tool, and log opt-outs back to the CRM.
Calls carry their own reputation. Register your business identity and outbound numbers with the caller reputation services the major carriers use, avoid rapid bursts of short calls from one number and watch answer rates per number. No setup can promise delivery or a clean label, because the carriers make that call.
When a packaged tool beats a Twilio build
If you need a few reps texting customers from the CRM, a packaged business texting tool or the CRM's own messaging feature is faster and cheaper to run than a custom Twilio integration. If you already run your business on a platform that bundles phone and SMS, use it before adding another account.
A Twilio build earns its cost when the conversation has to do work: qualify, book, route, update several systems or run around the clock with an AI assistant. If your volume is a handful of texts a day, start with the packaged tool and come back when the manual follow-up becomes the bottleneck.
