How do I choose a Power BI consulting firm?

Ask how they reconcile numbers against your accounting system, how measures are documented and whose tenant the work lives in. Ask to see a definitions document, not just dashboards.

Why do my Power BI numbers not match accounting?

Usually the dashboard and the books use different rules: order date versus invoice date, gross versus net of refunds, or a different set of included accounts. Duplicate customers, test orders and time zones add smaller gaps. Reconcile one closed month line by line and write down which rule the dashboard uses.

How do I automate Power BI report refresh and delivery?

Set scheduled refresh in the Power BI service, add an on premises data gateway for local sources and send failure notifications to a named owner. For delivery, use email subscriptions and data alerts. For steps beyond that, such as per manager exports, Power Automate or n8n can trigger them.

Salesforce, SQL databases and spreadsheets have built in connectors. Accounting tools such as QuickBooks vary in how well they connect directly, depending on the product and edition, so we check the connection first and often land that data in a database through an automated pull. That also keeps history for trend reports.

Do you provide a Power BI consultant by the hour?

Good Power BI consultants fix the data before they draw a chart: they connect your sources, reconcile them against the books, write down what each measure means and set up refresh and access so the dashboard is still right next quarter. Power BI projects that stall often have good looking visuals and numbers that finance will not sign off on.

The usual pattern: someone builds a sales dashboard in a week, revenue on it does not match the accounting system, nobody can say why, and managers go back to their spreadsheets.

Start with the decisions, then the measures

Before any Power BI dashboard development, list the decisions the report should support and who makes them. A sales manager choosing which accounts to call this week needs different data from a controller closing the month. Each decision points to a few measures, and each measure needs a written definition before anyone writes DAX.

A definition names the source table, the filters, the date it keys on and the owner who settles disputes. For example: net revenue is invoiced amount less credit notes, from the accounting system, by invoice date, owned by the controller. That one sentence heads off many of the arguments that undermine Power BI for data analysis inside a company.

  • Which three to six measures does that decision need?
  • Which system is the source of truth for each, and who owns the definition?

Connecting and reconciling sources

Salesforce, SQL databases, SharePoint lists and Excel files have built in Power BI connectors. Accounting tools vary by product and edition: some connect directly, others may work better through a third party connector or by landing the data in a database first, which also keeps history the source may drop. Spreadsheets work only if their layout stops changing.

Reconciliation is the step many Power BI consulting services skip. We pick a closed period, total each key measure in the source system and in the model, and explain every difference in writing. Typical causes are time zones, refunds recorded in a later month, test orders, duplicate customers across systems and currency conversion. A dashboard goes live when the remaining differences are explained and accepted by the person who owns the number, not when it looks finished.

The data model, DAX measures and written definitions

A good Power BI model is usually a star: fact tables for events such as orders, invoices or tickets, and dimension tables for customers, products, dates and staff. One shared semantic model feeds every report, so five analysts no longer keep five copies of the data with five answers, and a fix to a measure fixes it everywhere.

Measures are written once in the model, named in plain words and documented in a definitions page your team can read without opening Power BI Desktop. When a manager asks why a number moved, the answer should be a lookup, not an investigation.

How to automate Power BI reports: refresh, alerts and distribution

Power BI automated reports rest on scheduled refresh in the Power BI service. Cloud sources refresh directly. On premises sources such as a local SQL server or files on a shared drive need the on premises data gateway, installed on a machine that stays on. How often a dataset may refresh each day depends on your license, so we design around your current terms.

Refresh needs an owner and a failure path. Failure notifications go to a named person, not whoever built the report, and every page shows a data as of date so a stale report is obvious.

Delivery is the other half. Email subscriptions send a snapshot of a page on a schedule. Data alerts on cards and KPI visuals notify someone when a number crosses a threshold. Where a step needs more than that, such as exporting a filtered report to each regional manager or refreshing after an upstream file lands, we use Power Automate or the client's own n8n account to run it, under credentials the client holds.

Row level security and sharing

Row level security lets one report show each manager only their own region, branch or client list. Roles are defined in the model with DAX filters, often driven by a mapping table of user email to territory, and then people are assigned to roles in the service. Test it by viewing the report as each role before launch; a wrong filter shows someone data they should not see.

Share through workspaces and an app with groups, not individual shares from a personal workspace, and write down who can build, publish or only view. Benian builds in your Microsoft tenant with your admin holding ownership, so nothing depends on our access.

What to expect from a Power BI consulting firm

Whichever Power BI consulting company you hire, expect written measures before visuals, a reconciliation for each key number, one shared model, refresh with an owner, security tested by role and a handover your team can maintain. A proposal that opens with dashboard mockups and says nothing about reconciliation will likely stall at the first finance review.

Ask any Microsoft BI consultants you interview whose tenant the work lives in, how measures are documented and what happens when refresh fails at night. Plain answers beat a portfolio of screenshots.

When Power BI is not the right tool

If your company runs on Google Workspace and nobody uses Microsoft 365, Looker Studio may be the simpler choice for straightforward reports. If you have one source and one report, a well built spreadsheet with an automated data pull may be enough. If your analysts already work in Tableau, switching tools rarely fixes a data problem.

Start smaller when your source data is not trustworthy yet. If the CRM has duplicate accounts and half the deals have no close date, no dashboard will fix that; the first project is cleaning one source and one measure.
