People call when they are free, which is lunch, the evening and the weekend. A voicemail greeting at 7pm tells a new customer to try someone else.

A message taking service records a name and number. Nothing is booked until someone calls back, and by then the caller may have hired a competitor.
No record of what was missed

What an AI receptionist does on a small business phone line
An AI voice agent for small business is software that answers a call, listens, speaks back and takes actions in your other systems during the call. A good one does five jobs. It answers on the first ring and says it is an AI assistant for your business. It qualifies the call: new or existing customer, what service, how urgent, which location. It acts: books, reschedules, takes a detailed message or transfers. Then it sends a summary to the right person.
The summary should read like a job ticket: caller, number, address if relevant, the problem in one line, what was booked or promised, and anything the agent could not answer. Your team should be able to act on it without playing the recording.

Decide this before anything is built. List your ten most common call types and give each an owner: the agent, a person, or the agent first and then a person.

- Agent first, then a person: quotes that need judgment, upset customers, billing questions, a caller who asks for a human twice.
- Always a person, or a clear emergency route: safety issues and anything where a wrong answer causes harm. The agent transfers or reads the emergency instruction you wrote, never improvises.
Booking against your real calendar and CRM
An agent that only takes messages is a faster voicemail. The value comes when it reads open slots and writes the booking into the system your team already uses: a field service app, a scheduling tool or a shared calendar. That needs an integration, through the tool's API or an automation layer such as n8n running in an account you own.
The details decide whether booking works. Which job types fit which slot lengths? Which technician? How much travel buffer? Can a new customer book directly, or only request a time? If your scheduling tool has no API, the honest answer may be that the agent captures the request and a person confirms it.
After hours answering service for small business: evenings, lunch and peak days

Decide what coverage you want: nights and weekends only, any call the front desk misses within a few rings, or every call to the agent first. Conditional forwarding on your existing line makes the first two easy to set up and to undo.
Off the shelf phone bot or a custom AI receptionist
Off the shelf AI receptionist products are quick to start: fill in a form about your business and forward your number. They suit simple calls, one calendar the product supports and no custom routing. If that is you, try one before hiring anyone.
A custom build makes sense when calls need your rules: triage by urgency, service area checks, booking logic per job type, transfers by time of day, two languages, or writing into a CRM the product does not support. Staffed answering service, AI agent or hybrid
The best answering service for small business depends on your calls. A staffed telephone answering service puts a person on the line who handles odd and emotional calls well, but often takes a message rather than booking, and cost tends to grow with minutes or calls. An AI agent answers every call at once, books and summarizes, but is weaker on rare or emotional calls. A hybrid uses the agent for intake and booking and warm-transfers to a person, yours or a staffed service, with context already collected.

What drives the cost
We publish no price because the work varies. Cost moves with the number of call types and rules, the number and age of integrations, languages, transfer logic and call volume. Running costs are separate: the voice platform, model usage and phone line are generally billed per minute or per call by the vendors, in accounts you hold. Ask any vendor, including us, to show those apart from their own fee.

When not to hire us, or to start smaller
Skip a custom build if you get a handful of calls a week and miss almost none, if nearly every call needs a quote from you personally, or if your booking system has no way in and you are not willing to change it. Start smaller if you are unsure: put the agent on after hours calls only, with message capture and no booking, and measure for a month before connecting the calendar.
Setup, testing and handover
- Count and sort your calls. We pull a few weeks of call logs, list the call types and agree which ones the agent owns.
- Write the rules. Greeting, AI disclosure, questions, booking rules, transfer numbers, emergency wording and the summary format, approved by you in plain language.
- Build and connect. The voice agent, calendar or CRM integration and summary delivery, in accounts you own with credentials you hold.
- Test against real calls. We replay real call types, including hard ones: wrong numbers, angry callers, background noise, a caller who changes their mind. Failures are fixed before launch.
- Launch on a narrow slice. Usually after hours or overflow first, through forwarding you can switch off in minutes. We read every summary in the first weeks.
- Measure and hand over. Track pickup rate, bookings, transfers, hang ups and unresolved calls. You keep the logins, the rules and the call data.
