Many staffed services take a name, a number and a few lines about the matter. An AI voice agent on your firm's number can run the same intake script on every call, ask the practice area questions you approve, collect conflict check details, book the consultation and transfer the urgent calls to a person.

Someone who was just arrested, served or injured may call several firms in a row. If your line goes to voicemail, the caller keeps dialing, and the matter goes to whoever picks up and books a time.
Calls arrive when attorneys are in court
Hearings, depositions and client meetings take attorneys and paralegals off the phone during the same hours that prospective clients call from work breaks.
Messages without enough to act on
A note that says "car accident, call back" forces a second call just to learn the date of the accident, the other party's name and whether the caller already has a lawyer. Each extra call is another chance to lose the caller.
No record of what was missed
Many firms cannot say how many new matter calls went unanswered last month, at what hours, or for which practice area. Without that count nobody can tell whether phone coverage is the real leak.

A staffed law firm phone answering service puts a trained person on the line. That person can calm an upset caller, follow a script and use judgment on a call nobody planned for. The limits are consistency and depth: operators cover many firms, scripts get followed unevenly, and many services stop at taking a message unless you pay for intake work.
An AI agent asks every caller the same questions in the same order, at 2am or 2pm, and writes the answers straight into your intake system. It does not skip a screening question at the end of a shift. It is weaker on the call nobody scripted, and it needs a clear rule for when to hand the caller to a person.
Many firms use both: the AI agent answers first, runs intake and books consults, and hands off the calls it should not handle to staff by day or an on call attorney at night.

A legal intake answering service is only as good as the record it leaves behind. The flow we build follows the questions your intake team already asks:
- Disclose that the caller is speaking with an automated assistant for the firm, and that the call is recorded if it is.
- Ask whether the caller is a current client, a new matter or someone else, such as a court or opposing counsel, and route the last group immediately.
- Identify the practice area, then ask the screening questions you set for it: incident date, county or court, known deadlines, and whether they already have a lawyer.
- Collect conflict check details: full name and the names of other parties and businesses involved. Only enough to run the check.
- Qualify against your criteria: practice areas, jurisdictions and matters you decline. Declines get consistent wording and, if you choose, an approved referral list.
- Book the consult on the attorney's real calendar, or flag the matter for a fast attorney callback.
- Write the record to your intake CRM with a summary, recording, transcript and each screening answer in its own field.
What the AI answering service captures on every call
Every call produces the same fields, matter or not: caller name and callback number, new or existing client, practice area, screening answers, other parties named, the outcome (booked, transferred, declined, message) and the call time. After a month you have a count of new matter calls by hour and practice area, which is the base of law firm lead management and a number many firms have never had.
The record should land where your intake team already works: a legal intake CRM such as Clio Grow or Lawmatics, a general CRM or a shared inbox. The connection runs in accounts the firm owns, so the intake data stays in the firm's systems.
No legal advice: guardrails that hold
The agent's job is intake and scheduling. It is told what it may say, not just what it must not say: it can describe what the firm handles, explain how a consultation works, and confirm a booking. It does not assess whether someone has a case, estimate what a case is worth, interpret a deadline or tell a caller what to do next in their matter.
When a caller asks for an opinion, the agent says an attorney will answer that in the consultation and moves to booking or a callback. We test this before launch with scripted calls built to pull advice out of it: a caller asking whether they should sign a settlement offer, whether they missed a filing date, or whether they should talk to the police. A release that answers any of them does not go live.
Your ethics obligations stay with the firm. Information a prospective client shares can be confidential even if the firm never takes the matter, which is one reason the intake collects only what the conflict check and screening need. An attorney at the firm should approve the script, disclosures and decline wording before launch.
Law firm 24/7 answering service: after hours, weekends and Spanish speaking callers
After hours is where an AI agent changes the most. Criminal defense, family law and personal injury calls often come at night and on weekends. Our nearest published proof is outside law: at My Smile Miami, a dental practice, about half of 3,402 answered calls arrived outside office hours, and at Hall's Heating & Air 80% of AI handled calls arrive after hours. Your firm's split is unknown until you count it.
A bilingual legal answering service needs more than translated greetings. The agent can run the whole intake in Spanish, write the record in English and flag the caller's language so the consult goes to a Spanish speaking attorney or is booked with an interpreter. The My Smile Miami agent is bilingual, but that is dental, not legal.
Some calls should never stay with a machine. A caller describing danger to themselves or someone else is told to call 911. A call about someone just arrested goes to the on call attorney if the firm runs one, or gets the first callback in the morning.
Routing to the right attorney or practice area
Routing rules come from the firm. Common ones: new injury matters go to the intake coordinator's calendar, existing clients to their paralegal, courts and opposing counsel to the front desk, and anything urgent to the on call phone.
A warm transfer passes the caller to a person with a short summary, so nobody asks the caller to start over. At Discovery Dental, a dental practice, our agent has warm-transferred 320 calls to the right person with that context. When nobody picks up a transfer, the agent books a callback instead of sending the caller to voicemail.
Confidentiality and call records
Call recordings and transcripts hold sensitive facts, so where they live matters. We set up the voice platform, telephony and automation accounts in the firm's name where the vendor allows it, with credentials the firm holds. The firm sets the retention period and who can open the records.
Recording consent rules differ by state, and some states require every party to agree, so the opening disclosure should cover every state you take calls from. We make no certification claims for the platforms involved; review each vendor's data terms as you would any service that touches client information.
What drives the cost compared with per minute services
Many staffed legal call answering services bill per minute or per call, some with a monthly minimum, so cost rises with call volume and call length. Long intake calls cost more under that model.
An AI agent has a build cost and a running cost. The build is driven by the number of call types and practice areas, the depth of each screening script, the languages and the systems it connects to. - Count the calls. Pull a month of call logs and sort them by hour, new versus existing and practice area. That sets the scope and the baseline.
- Write the intake script with the firm. Screening questions, conflict check fields, decline rules, the no advice wording and the disclosures, reviewed by an attorney.
- Connect calendars and the intake system. Booking rules per attorney, transfer numbers and the CRM record format, in accounts the firm owns.
- Test with hostile calls. Scripted calls that ask for advice, switch to Spanish mid call or describe an emergency. Failing releases do not go live.
