For web forms, a first real contact within minutes during the hours leads arrive is a reasonable target, and the 2011 HBR research compared contact within an hour against slower contact. What is missed call text back?

Speed to lead is the time between a prospect reaching out and your business making real contact, and Benian Technologies' working answer is: within minutes for calls and forms during the hours buyers actually contact you, which for many service firms includes evenings and weekends. Contact means a person or system that can move the inquiry forward, not an autoresponder that says someone will be in touch.

The reason it matters is plain. Someone with a leaking furnace, a toothache or a quote request usually contacts more than one business, and the first one that responds well often gets the job. Slow response shows up as revenue that never arrived, not as a line on a report.

Measure your own speed to lead first

Most owners guess their lead response time and guess low. Before buying anything, pull two weeks of data from three channels. Phones: your phone system or carrier portal can usually export every inbound call with a timestamp and whether it was answered, missed or sent to voicemail. Web forms: compare each submission time in your form tool with the first logged call or email back in your CRM or inbox. Texts and chat: the same, first inbound message against first reply.

From that, work out four numbers. The share of calls answered live, split by business hours and after hours. The median time to first contact on forms, not the average, because a few same-day replies hide a long tail. The share of voicemails that were ever returned. And the share of missed callers who never called back. That last number is the one that hurts, because those people did not wait for you.

Watch for a common trap. Many phone systems count a call as answered when an auto attendant or voicemail picks it up. Check what your report calls answered before you trust it, or you will measure the machine instead of the response.

Speed to lead stats: what the research says, and its limits

The most cited source is a 2011 Harvard Business Review article, The Short Life of Online Sales Leads, by James Oldroyd, Kristina McElheran and David Elkington. They tested how quickly US companies responded to web inquiries and found many took hours or days, and some never responded. Their analysis found that firms that tried to reach a lead within an hour were nearly seven times as likely to qualify it as firms that tried even an hour later.

Read it with its limits. The data is more than a decade old and predates texting as a normal business channel. It covered web form leads, not phone calls. It shows a strong association, and part of it may be that responsive firms are simply better run. The widely repeated five-minute figures come from other studies and are often quoted with no source at all, so treat them as unverified unless you can read the original.

The practical takeaway does not depend on the exact multiplier. Interest decays fast, competitors are a search away, and your own call logs are better evidence than any industry average. Measure yours, fix the biggest gap, and measure again.

Missed call text back: when it helps, and what to send

A missed call text back sends an automatic SMS to anyone whose call went unanswered, usually within a minute. It is cheap to set up in most phone and CRM tools and it does recover some callers, especially those with routine requests who are happy to book by text: a quote, a non-urgent appointment, a question about hours.

How to respond to a missed call by text: name the business, say you missed them, offer one clear next step and make replying easy. For example: "Hi, this is [Business name], sorry we missed your call. Reply with what you need and the best time to reach you, or book here: [link]." Avoid long messages, marketing offers and links that look like spam. Send it from the same number they called so the thread makes sense.

Know the exceptions. Landlines cannot receive texts, and some callers are on them. Business texting from US local numbers generally requires carrier registration, often called 10DLC, before messages deliver reliably. A reply to someone who just called you is different from a marketing text, but consent rules still apply, so check with your counsel before adding promotions. Most important, a text is a delay. It works when the caller can wait. It fails for the caller with no heat at night, who wanted a person and is already dialing the next company.
